33 ChatGPT prompts for meetings: before, during and after

Prompts for the whole life of a meeting: deciding whether it should happen, running it, and turning messy notes into decisions people act on. Copy, replace the [brackets], paste.

Short answer

The best ChatGPT prompts for meetings do one of three jobs: plan the meeting (agenda, pre-read, questions), help you in the moment (explain a term, draft a reply), or turn notes and transcripts into decisions and action items. ChatGPT can't hear your call, so give it your notes or an exported transcript.

What can ChatGPT do for a meeting, and what can't it?

ChatGPT doesn't join your Zoom or Teams call and it can't hear what's said. Everything it knows about the meeting is what you give it: your typed notes, a pasted agenda, or a transcript you exported afterward from Zoom, Teams or Meet (if your account has transcription turned on). That sounds like a limitation. In practice it's why these prompts work. You decide what goes in, and nothing records the people in the room.

Start every meeting chat with a short context block. It takes 20 seconds and stops the model from writing a summary for a meeting it imagined.

1. Meeting context block

Meeting: [name], [date], [length].
Attendees and roles: [name - role], [name - role].
Purpose: [one sentence].
What I need from this meeting: [decision / information / agreement].
Use only the information I give you. If something is unclear, ask me instead of guessing.

2. Agenda that ends in a decision

Write a [30]-minute agenda for a meeting whose goal is to decide [decision]. Give each item a time box, an owner and the question it must answer. Put the decision item before the halfway point, not at the end.

3. Summarize the pre-read

Summarize this document for someone with 3 minutes before a meeting: the main proposal, the 3 numbers that matter, and the 2 questions I should ask about it.
[paste document]

4. Questions I should ask

I'm attending a meeting about [topic] as the [my role]. List 6 sharp questions I could ask, ordered from most to least useful. Mark any that might come across as confrontational and suggest a softer wording.

5. Read the room in advance

Here's what I know about the attendees: [paste]. For each person, what do they probably want from this meeting, and what might make them resist [proposal]?

6. One-on-one agenda

Draft an agenda for my 1:1 with [manager/report]. Topics I want to raise: [list]. Order them so the hardest one comes second, not last, and suggest one opening question for each.

7. Should this be a meeting at all?

Here's the meeting invite and agenda: [paste]. Could this be handled async in a document or message instead? If yes, draft that message. If no, tell me which agenda item actually needs a live conversation.

What can you ask ChatGPT during a live meeting?

Live prompts have to be short, because you're also listening. Type what you heard in your own words; don't try to transcribe. These six cover most of what people actually need mid-call.

8. Explain a term I just heard

In 2 sentences, what does "[term]" mean in the context of [industry/topic]? Give one example.

9. Make sense of what was just said

Someone just argued: [your paraphrase]. What's the strongest version of their point, and what's the one weak spot? 3 lines max.

10. Draft my question

I want to ask [person] about [concern] without sounding like I'm blaming them. Give me one sentence I can say out loud.

11. Push back politely

The group is about to agree to [decision] and I think [concern]. Give me 2 short ways to raise it that keep the discussion open.

12. Answer something I'm unsure about

I've been asked: "[question]". Here's what I know: [facts]. Draft a 2-sentence honest answer, including what I'll confirm after the meeting.

13. Park a tangent

The meeting has drifted into [tangent]. Give me one polite sentence to park it and bring us back to [agenda item].

The friction here is where ChatGPT sits. If you're presenting, a browser tab is either on the shared screen or a click away from it. That's the gap AuraCloak fills on Windows: it's an always-on-top AI window you open with Ctrl + Alt + Space, and Windows excludes it from screen capture, so Zoom, Teams and Meet viewers don't see it. You can type, or hold Alt + V to dictate a question from your own mic. It doesn't listen to the meeting.

Ask these prompts mid-meeting in a window your screen share leaves out. Works with your ChatGPT login or your own API key.

How do you turn meeting notes into a summary with ChatGPT?

Paste the notes or transcript, then ask for structure rather than a "summary". Unstructured summaries come back as five pleasant paragraphs nobody reads.

14. Messy notes to clean summary

Turn these rough notes into a summary with 4 headings: Decisions, Action items (owner + due date), Open questions, Context. Don't add anything that isn't in the notes. If an action item has no owner, write "OWNER?".
[paste notes]

15. Transcript to decisions

From this transcript, list every decision that was actually made (not just discussed). For each, quote the line where it was agreed and who agreed. Then list topics that were discussed but left undecided.
[paste transcript]

16. Action item table

Extract all action items from these notes into a table: task, owner, due date, depends on. Flag any task that's vague and rewrite it as something someone could finish.

17. Executive summary

Write a 5-line summary of this meeting for [executive] who wasn't there. Lead with the decision or the ask, then the one risk they should know about. No background they already know.

18. Find the risks nobody named

Read these meeting notes [paste]. What assumptions did the group make that could turn out wrong? List up to 4, with a question that would test each.

What are good prompts for meeting follow-up emails?

19. Recap email to attendees

Write a follow-up email from these notes [paste]. Subject line with the decision in it. Body: 2-line recap, action items with owners and dates, next meeting date. Under 150 words. Plain tone.

20. Update for people who missed it

Write a short update for [team] who missed this meeting. What changed for them specifically, what they need to do, and by when. Skip everything that doesn't affect them.

21. Slack or Teams message version

Turn this recap into a Slack message under 80 words with the decision in bold first line and action items as @mentions placeholders.

22. Decline a meeting with a useful alternative

I want to decline this meeting [paste invite] but still help. Write a friendly 3-sentence reply that offers my input in writing and asks for the notes afterward.

Which prompts help with stand-ups, retros and 1:1s?

23. Stand-up update

Turn this list of what I did [paste] into a 30-second stand-up update: done, doing next, blocked by. Cut anything that doesn't matter to the team.

24. Retro themes

Here are the sticky notes from our retrospective [paste]. Group them into themes, count how many notes are in each, and suggest one concrete experiment for the top 2 themes.

25. Feedback in a 1:1

I need to give [report] feedback about [behavior]. Help me write it using situation, behavior, impact, then a question that asks for their view. Keep it under 80 words and kind but clear.

26. Prepare for a performance conversation

I'm meeting my manager to discuss my performance and a possible promotion. Here are my results this year: [paste]. Turn them into 4 bullet points with numbers, and list 3 questions I should ask about what the next level requires.

What prompts help with difficult meetings?

27. Handle a disagreement

[Person] and I disagree about [issue]. Their view: [paste]. My view: [paste]. Write what I could say to find the part we agree on first, then propose a way to test which approach works.

28. Deliver bad news

I have to tell [audience] that [bad news]. Write the first 3 sentences I'll say, stating the news plainly in the first sentence, then the reason, then what happens next.

29. Say no to a request

I've been asked to take on [request] and I can't. Draft a response that says no clearly, explains the trade-off with my current work, and offers one smaller alternative.

What are good prompts for presenting in a meeting?

30. Talking points from slides

Here are my slide titles and bullets [paste]. Write 2 to 3 spoken talking points per slide in plain language, and one transition sentence to the next slide.

31. Prepare for Q&A

I'm presenting [topic] to [audience]. List the 8 hardest questions they could ask and a 2-sentence answer for each. Mark which answers need data I should bring.

32. Cut my update to 60 seconds

Shorten this update to what I can say in 60 seconds (about 150 words). Keep the one number that matters and the ask.
[paste update]

33. Speaker notes I can glance at

Turn my talking points into speaker notes I can read in a glance: max 6 words per line, keywords first, one line per idea.

If you present from Windows and want those speaker notes visible to you but not to the audience, our guide to hiding a window from screen share covers four ways, and AuraCloak for meetings covers the overlay approach.

How do you get better meeting answers from ChatGPT?

  • Paste, don't describe. "Summarize my meeting about the Q3 budget" invents things. Pasting the notes doesn't.
  • Ask for owners and dates by name. Summaries without them don't change anything on Monday.
  • Tell it what to leave out. "Skip background the reader knows" saves more words than "be concise".
  • Check quotes against the transcript. Models occasionally merge two speakers. Prompt 15 asks for quoted lines so you can check quickly.
  • Mind confidential content. Use the AI account your company approved, especially for HR, legal and customer meetings.

FAQ

Can ChatGPT take notes in a meeting?

Not by itself. ChatGPT doesn't join Zoom, Teams or Meet calls or hear the audio. You can paste your own notes or an exported transcript and ask it to produce decisions, action items and a summary. For automatic notes, use your meeting platform's built-in AI or a notetaker.

What is the best ChatGPT prompt to summarize a meeting?

Ask for structure: "Turn these notes into Decisions, Action items with owner and due date, Open questions and Context. Don't add anything that isn't in the notes." Structured summaries are easier to act on than paragraphs, and the no-adding rule cuts made-up details.

How do I use ChatGPT during a meeting without others seeing?

Share a single window instead of your whole screen, put ChatGPT on a monitor you aren't sharing, or use an overlay that Windows excludes from screen capture, such as AuraCloak. Keep live prompts short so you can keep listening.

Can ChatGPT write a meeting agenda?

Yes. Give it the meeting goal, length and attendees, and ask for time-boxed items with an owner and the question each item must answer. Asking it to put the decision before the halfway point helps meetings end with an outcome rather than running out of time.

Is it OK to paste meeting transcripts into ChatGPT?

Only if the people in the meeting agreed to the recording and your company allows that AI tool for the content. Meetings often contain personal or confidential details. Use an approved business account, and remove names or sensitive numbers when you don't need them.
